Project Coordinator / Accountant San Diego

 

We are seeking a Project Coordinator / Accountant for our San Diego office. 

This position is ideal for someone who is an efficient and reliable individual contributor with a team-oriented attitude. Attention to detail and accuracy must be exceptional, with a constant drive to provide more efficiency to the organization. The role provides support to the project managers and accounting staff. Excellent proficiency with Excel and accounting software (ideally QuickBooks) is required. The ability to enter and manipulate data, perform analysis on data sets, and support project reporting is core to the position. An accounting degree or equivalent
experience is required.

Daily duties consist of invoicing clients, data entry, creating reports and analysis for project managers, purchasing, as well as occasional other office support functions. This demanding job is ideal for someone who loves to check items off the list and thrives in seeing how much they can accomplish in a day. This position includes working with clients, vendors, the executive management team, and employees for 4 west-coast offices. Having a courteous and professional demeanor is critical for success in the position. Strong communication skills, both written and oral are required.

 

Job Duties:

Project Coordination: Support of Project Managers

  • Input data into project spreadsheets, checking to make sure there are no errors and creating reports for project managers
  • Summarize the projects that are to be invoiced every 2 weeks and communicating the specific breakdown of data to the Accounting Manager who is located in San Diego, CA
  • Place orders to purchase materials for technical projects where purchasing volumes can vary drastically with each project
  • Set up new projects in the time-tracking and accounting system
  • Track financial progress of projects and alert the Accounting Manager and project managers when milestones are met or approaching
  • Data entry and maintaining accurate vendor and client lists in database and QuickBooks

Accounting

  • Invoice projects every 2 weeks
  • Assist Accounting Manager with Accounts Payable
  • Match receipts to expenses and enter data into QuickBooks
  • Receive incoming deliveries, match shipping documents to purchase orders and log transactions accordingly; transmit receiving data to accounting department

Occasional Additional Administrative Support

  • Support mail, shipping and receiving departments
  • Support recruiting, HR and onboarding activity
  • Write/update processes and procedures in cloud-based software
  • Special projects as assigned by executive management team

 

Qualifications:

  • Bachelor’s degree in Accounting or related field with minimum 2 years’ experience (or equivalent experience)
  • Accounting software experience; preferably with QuickBooks Enterprise
  • Experience with managing projects; CAPM desired
  • Exceptionally high attention to detail, organization and accuracy
  • Expertise in Excel and spreadsheets (pivot table knowledge required)
  • Strong proficiency in MS Office (Word, Outlook, PowerPoint)
  • Human Resources experience a plus
  • Highly professional in dealing with confidential matters
  • Excellent communication and writing skills, including correct spelling and grammar
  • Experience working with and supporting remote offices preferred
  • Highly motivated with demonstrated ability to work independently with minimal supervision
  • Proven track record of being able to take direction at a high level and to prioritize and plan effectively to meet deadlines
  • Ability to handle multiple priorities, strong collaboration skills and ability to complete assignments in a timely manner
  • Excellent people and customer service skills
